ChatGPT, Copilot or Claude? How to Choose an AI Tool for Your Finance Team Without an IT Department

A finance team. Working in SAP, Oracle, Excel — or perhaps a smaller accounting system. Communicating through Outlook, reporting to leadership in PowerPoint. No dedicated IT department, or one that's stretched thin on other priorities. And somewhere along the way, someone heard that AI could save them time.

But which one? ChatGPT? Copilot? Claude? Gemini? Why are there so many options — and how do you pick the right one without calling in an IT consultant?

This article is a practical guide for exactly that situation.

First: What Can AI Tools Actually Do for a Finance Team?

Before comparing specific tools, it's worth setting realistic expectations. Today's AI tools are genuinely strong at:

  • Writing and editing — emails, management commentary, internal communications
  • Document analysis and summarisation — contracts, invoices, regulatory texts
  • Answering specialist questions — tax queries, accounting standards, regulatory interpretation
  • Building templates and structures — reports, presentations, checklists
  • Working with spreadsheets — formulas, data analysis, explaining calculations (integration varies by tool)

What AI tools can't do reliably: read directly from your ERP, access internal data without a connection, guarantee 100% accuracy in tax calculations, or replace the professional judgement of a qualified accountant or tax adviser.

The Main Players — A Brief Overview

ChatGPT (OpenAI) is the most widely adopted. Strong on document analysis, tax research, and producing well-structured written outputs. It's not natively embedded in Microsoft tools, but works independently via browser or app.

Microsoft Copilot is built directly into the environment most finance teams already use — Excel, Outlook, Word, Teams. The main advantage is that your team doesn't need to switch between applications.

Claude (Anthropic) is particularly strong at working with long documents — contracts, reports, regulatory texts. Recognised for the clarity and precision of its outputs. Well suited to more analytically demanding tasks.

Gemini (Google) is the natural choice for teams working in Google Workspace (Gmail, Docs, Sheets). For teams primarily in the Microsoft ecosystem, it's not typically the first priority.

How to Decide — A Practical Framework

Question 1: What does your team work in every day?

  • Primarily Microsoft (Outlook, Excel, Word, Teams) → Copilot
  • Multiple tools, lots of documents to analyse, tax research → ChatGPT or Claude
  • Google Workspace → Gemini

Question 2: What is your main use case?

  • Contract analysis, regulatory research, drafting commentary → ChatGPT or Claude
  • Working in Excel, summarising emails and meetings → Copilot
  • Very long documents, complex analysis → Claude

Question 3: How large is the team, and how sensitive is the data?

  • Smaller team, highly sensitive data → start with individual testing before rolling out a Team or Business plan
  • Larger team → Team or Business licence with clear rules on what data enters the tool

Practical Recommendation

For finance teams working primarily in Microsoft, Copilot is the logical starting point — it's already where the team works. If the team's main need is document analysis, tax research, or producing structured written content, ChatGPT or Claude are stronger options, each with a slightly different focus.

All of these can be tested before full rollout. And all of them make most sense when introduced gradually: start with one specific use case, then expand.

The worst approach is to buy licences for the whole team and expect people to figure it out on their own.
